Transferring documents

Smart Paste uses the Clipboard to transfer documents from a source folder to a destination folder. Smart Paste shows you the documents that will be affected before it performs any transfers and shows you the results of the transfer afterward for confirmation. For more information about when Smart Paste performs different operations, see Understanding Smart Paste operations.

Note    Although Smart Paste uses the Clipboard, its functionality is not the same as the standard Clipboard commands described elsewhere in this document.

To transfer documents with Smart Paste:

  1. Set the appropriate Smart Paste properties described in Understanding the Smart Paste properties.
  2. Place the parent folder of the documents that you want to transfer on the Clipboard as described in Adding items to the Clipboard. You may also transfer individual documents by adding them to the Clipboard.
  3. Navigate to the destination parent folder where you want to transfer the documents.
  4. Open the Clipboard as described in Viewing the Clipboard contents.
  5. In the Mass Operations section header, click Smart Paste. The Planned Smart Paste Operations page appears that lists the source documents on the Clipboard grouped by parent folder. Documents may appear in multiple folders. File operations are highlighted in yellow.

The Operation column shows the operation that will be performed on each document, New document or New version of document. If a prior version of a document exists in the destination folder, its information is shown in the right side of the Operation column for reference.

The first folder in which a source document is listed will be the parent folder of the document. The document will be assigned the access control profile of that folder. Documents that will be related to a parent folder are indicated with the text Link new document to folder(s). Documents that will be linked to other folders are indicated with the text Link from document in.

Note    The items on the Clipboard are locked for the next 15 minutes to give you time to complete the transfer without the items being modified by other users. If the transfer does not complete within this time, an error will occur and the documents will not be transferred.

  1. Select the checkbox next to each document that you want to transfer.

If an incorrect operation is shown for any document, click Cancel to modify the document properties or clear the document. If the checkbox of a document linked to a parent folder is cleared, the same document is cleared automatically in all other folders. Documents listed in non-parent folders may be cleared individually.

  1. If you want to move the documents from the source folder instead of copy them (delete the source documents), select Do Smart Move (default).
  2. To proceed with the operations for the selected documents, click Smart Paste documents. The Performed Smart Paste Operations page appears that is similar to the previous page except the new documents that were created are listed in the right-most column.
